Who we are and what we do:

Cave Creek Museum (CCM) is a 501(c)3. Our mission is to is to preserve the artifacts of the pre-history, history, culture and legacy of the Cave Creek Mining District and the Cave Creek/Carefree foothills area through education, research, and interpretive exhibits.

Position Description:

The Museum Operations Manager is responsible for the day-to-day oversight and operations of the museum and museum departments. The Museum Operations Manager reports to the Museum Director in support of museum operations. The Museum Operations Manager also oversees the volunteers.

Primary Duties:

The Museum Operations Manager ensures smooth museum operations. Responsible for the interpretation, preservation, maintenance, and sustainability of the museum. Manages volunteers in support of museum operations, activities, and the Museum Director.  Works closely with the Museum Director to support the President and Board of Directors to develop and conduct museum activities in support of the organizational strategic plan.

Institutional and Operational Management:

  • Follows all federal and state nonprofit rules and regulations and the Museum’s governing documents
  • Is an experienced, effective volunteer manager and team builder with a high level of integrity, transparent leadership
  • Balances multiple projects and operating issues concurrently
  • Cultivates the value of diversity, equality, inclusion, and respect
  • Has familiarity with retail/Lightspeed POS software
  • Works collaboratively and cooperatively with Museum Director, Board members, donors, staff, partners, and volunteers
  • Knowledge of office procedures, equipment and software (MicroSoft Office Suite, Volgistics, Constant Contact, Past Perfect, Team Up, etc.)
  • Has skill in and uses current communication and social media practices
  • Advises on developing programs, design budgets, and evaluate program performance utilizing data and visitor feedback

Volunteer Management:

  • Manages and motivates volunteers for Museum tours, store, collections, maintenance of historic building and machines, etc.
  • Cultivates a positive working environment, strong volunteer morale, and a culture of excellence, openness and teamwork
  • Responsible for input and maintenance of volunteer data
  • Ensures volunteer hours are input in a timely manner and report weekly to Museum Director, or as needed

Board Relations:

  • Cooperatively works with and reports to Museum Director
  • Monthly, provides the Board all information necessary to its proper function, including current status of relevant committees and their progress
  • Able to assist in the orientation of new Board members
  • Collaborates with the Museum Director and Board of Directors in defining long-term goals and implements plans for growth
  • At times takes on other duties as defined by the Board of Directors and/or Museum Director

Programs, Exhibits and Events:

  • Report on relevant committees
  • Coordinate school and group tours, ensuring excellence of the CCM programs, exhibits, and events
  • Coordinate docent scheduling
  • Maintains calendar of events and all meetings
  • Assists in all programs, events, tours, and projects as required

Financial & Fundraising Management:

  • Works with the Museum Director, volunteers, and staff to develop annual and multi-year budgets, manage Board approved expenditures
  • Assists the Museum Director in developing and maintaining key volunteer and stakeholder relationships

Qualifications and Required Skills:

  • Well-developed written and oral communication
  • Demonstrated experience using effective interpersonal skills, listening, diplomacy and tact to build strong relationships with supporters, volunteers, and staff
  • Experienced, effective manager and team builder
  • Ability to interact with a diverse audience
  • Solid time management and ability to meet deadlines with accuracy
  • Exercise solid independent judgment, discretion and decision-making
  • Ability to maintain confidentiality and professional work standards and ethics
  • Work effectively in results-oriented organization with either specific instruction or little supervision.
  • Perform work in an office setting as well as outdoor locations where there may be infrequent exposure to disagreeable elements typical of Arizona’s desert
  • May be responsible for opening and closing museum in the absence of the Museum Director
  • Able to assist in monitoring the Museum security systems
  • Passion for and an understanding of the pre-history, history, and culture of the Cave Creek/Carefree Foothills area
  • Computer literacy with Microsoft Office Suite and familiarity with software such as: Volgistics, Constant Contact, Past Perfect, and LightSpeed
  • Must be able to occasionally move up to 40 pounds, traverse uneven ground up to 3 miles, and work outdoors in exposed conditions
  • This position must possess and maintain a current, valid driver’s license

Compensation & Benefits:

  • Salary starting at $40,000 to $45,000/year
  • TeleHealth/UrgentCare contribution
  • IRA contribution is negotiable
  • 4 weeks PTO (only 2 weeks can be taken when Museum is open)

The Museum Operations Manager is a full time, exempt, salaried position, accountable to the Board of Directors, and based at CCM’s Cave Creek, Arizona office. The Museum Director supervises the Museum Operations Manager. Some night and weekend work is required. Travel throughout the Valley is needed at times for projects and events.
